Privacy policy

This policy explains how Techopolis handles information across our websites, apps, software, accounts, products, and related services, why we use it, and what choices you have.

1. Who we are and what this policy covers

Techopolis Online Solutions, LLC (“Techopolis,” “we,” or “us”) is responsible for the information described in this policy. It covers our websites, including techopolisonline.com and techopolis.app; our mobile, desktop, and web apps; other software and digital products; Techopolis accounts (also called My Techopolis); and related support, newsletters, consultations, and administration tools.

This same privacy policy applies to all Techopolis apps, products, and services. The information involved depends on the features you use: not every app uses every type of information, device permission, or service described here.

Other companies' websites, app stores, and services have their own privacy policies. When you use a product through an employer or another organization, that organization may also control the information you submit and who can access it. If you run our software on your own server or connect it to a server operated by someone else, that server's operator controls information processed there.

2. Information we collect

The information involved depends on the product and features you use. Some information stays on your device; other information reaches us when you create an account, submit content, contact us, or use an online service:

  • Account information: your name, email address, sign-in provider, account status, product or organization role, and an account identifier. Products that use Firebase Authentication send sign-in information to Google Firebase to create and secure your account, sign you in, and recover access. Firebase handles those passwords; Techopolis does not store them in its website database.
  • Profile information: details you choose to add, such as a job title, biography, website, and profile photo. If you are a blog author, the name, biography, photo, and links you choose for your byline may be public.
  • Messages and newsletter information: your name, email address, message, subscription choice, and anything else you send us.
  • App content and settings: information you create, select, import, record, upload, or share, such as documents, books, photos, audio, transcripts, conversations, tasks, and preferences. This can also include project and testing records, support attachments, shortcuts, comments, and other content you submit to a shared service. Processing something within an app does not necessarily mean Techopolis receives it; see the app storage and AI sections below.
  • Connected accounts and tools: the account or service identifier, permissions, authorization tokens or API keys you provide, and information exchanged to perform the requested action. Social and publishing features can handle drafts, scheduled posts, uploaded media, replies, messages, and audience or post statistics. Project integrations can handle repository, issue, and task information.
  • Location and navigation information: where you use those features, your location, saved places, routes, markers, and motion or orientation information used to help you navigate. A route or location you choose to publish or share is visible to its recipients.
  • Screen, camera, and meeting content: screenshots, visible text, accessibility information from other apps, camera images, microphone or system audio, and meeting or stream content when you use features that capture or share them. This information can include other people's information or content visible in another app.
  • Saved speaker information: Perspective Transcribe can save a name you assign to a speaker and numeric voice characteristics used to recognize that speaker across recordings. These voice profiles are stored with the app's data and can sync through your iCloud account. They are used for speaker recognition and transcript labels.
  • Purchase and subscription information: where applicable, the product purchased, transaction identifier, purchase date, subscription status, receipt or purchase verification, and license or download records.
  • Lyra chat questions: the questions you choose to send to the Lyra website assistant and its recent replies. Techopolis sends this conversation and the current published website information to OpenAI to generate an answer. The website does not save the chat conversation to the Techopolis database.
  • Website activity: the public page visited, a short-lived random browser-session value, and basic totals. We turn the session value into a one-way, day-specific code before storing it. We do not attach these first-party counts to an account, name, or email address.
  • Technical and security information: IP addresses, browser and device details, dates and times, requests, error logs, sign-in events, security signals, and administrator actions.

3. Apps, device permissions, and storage

Depending on its features, an app may request access to your microphone for recording or transcription, camera or photos for image features, files you select, location and motion for navigation, or calendars and reminders for planning. Screen description, dictation, and meeting features may also need screen recording, system audio, speech recognition, or accessibility access to read or interact with other apps. Permission prompts explain the requested access. You can review or revoke permissions in your device settings; features that need that access may then stop working.

Notifications can also be controlled in your device settings. Where an app uses remote notifications, a notification service may process a device delivery token and the information needed to deliver the notification.

App data may be stored on your device, in a cloud account you use, or on servers used to provide an online feature. On-device processing alone does not send that content to Techopolis. Syncing, backup, uploading, sharing, and online processing can involve sending information off your device. Device permission settings and available app settings let you control the access and features you enable.

An app or its distribution platform may provide diagnostic information, such as app and operating-system versions, crash reports, and performance information, depending on the app and your diagnostic-sharing settings. The website cookie controls below apply to this website; they do not change permissions or privacy settings inside apps.

Downloading an app, update, voice, or AI model contacts the server supplying that file. That server can receive normal request information, including your IP address and the requested file. Downloading a model for local use is different from sending your documents or conversations to an online AI service.

4. AI and connected services

AI features may process information on your device or through an online provider, depending on the app and the feature you choose. An online feature may send your prompt, selected files, recordings, images, conversation context, or other submitted content to the provider needed to produce a response. Where you choose a provider or connect your own provider account, that provider also handles submitted information under its own privacy policy and your account settings. Content processed entirely on your device is not sent to an online AI provider by that processing. The Lyra website assistant's OpenAI use is described in the information and services sections below.

Cloud speech features send the text you ask to have spoken, or audio you submit for processing, to the selected speech provider. Local speech and AI features process their inputs on your device. An online provider's retention and model-training practices depend on the service and the account or API settings used; this policy does not promise that every outside provider retains no information or has the same settings.

When you connect an outside account or service, the information exchanged depends on the permissions you grant and the action you request. You can revoke the connection through the available product or provider settings. Revoking access stops future authorized access but does not itself delete information already submitted.

Connected tools, including Model Context Protocol (MCP) servers and agent gateways, can receive instructions and relevant content and return information to the app or AI provider. When you use publishing, sharing, or synchronization actions, the destination service receives the content needed for that action. You control which connections you authorize; their operators also handle information under their own policies.

Share only the information needed for the feature you are using. Before uploading or recording information about other people, make sure you have the permission needed to use and share it.

5. Purchases, subscriptions, and software licenses

When you purchase through an app store or an external checkout service, that provider processes your payment information under its own privacy policy. We may receive transaction or subscription information needed to verify a purchase, unlock features, restore access, or respond to a billing or support request. We do not receive your full payment card number from an App Store purchase.

For products offering direct purchases, downloads, or software licenses, records may include your contact details, order, payment status, license identifier, and activation or download information needed to provide access. Available features and purchase methods vary by product. The Techopolis website account does not mirror your App Store purchase history.

Manage a subscription through the provider where you bought it. Deleting an app or requesting deletion of your information does not automatically cancel an app-store subscription.

6. How we use information

We use information to:

  • provide our websites, apps, software, and Techopolis accounts;
  • process content and deliver the features you request;
  • verify purchases and provide subscription, download, or license access;
  • keep accounts, apps, and services secure;
  • publish profile or author information you choose to make public;
  • send requested newsletters and necessary account emails;
  • answer questions and support requests;
  • generate Lyra's answers from current published Techopolis information;
  • diagnose problems and improve our products and services; and
  • follow the law and protect the rights and safety of Techopolis and others.

We do not sell personal information. We do not use it for targeted advertising or for automated decisions about employment, credit, housing, insurance, or similar matters.

7. Cookies and analytics

On this website, essential cookies and browser storage keep account sessions secure and remember your cookie choice. They continue to work if you reject optional cookies. Our basic first-party page counts also work without optional cookies and do not identify you by name or account.

Google Analytics loads only if you accept analytics cookies and helps us understand visits and page use. Its advertising and ad-personalization features are turned off. The ActiveCampaign newsletter form loads automatically and receives the details you choose to submit.

You can accept, reject, or change your choice at any time. If your browser sends a Global Privacy Control or Do Not Track signal, we keep Google Analytics off.

8. When we share information

We share information only when needed:

  • with service providers so they can provide hosting, account access, payments, delivery, support, or requested features;
  • when you ask us to share it or choose to make it public;
  • when the law requires it or it is needed to prevent harm, fraud, or abuse; or
  • during a business sale, merger, or reorganization, with appropriate protection and notice when required.

If you share content in a team or organization, other members or administrators may have access according to that product's permissions. Using a shared Techopolis sign-in does not by itself make your private product content available to other users or combine all of your product data.

9. Services we use

The services below support our websites, apps, accounts, distribution, and connected features. Which services receive information depends on the features you use. Visiting the website or using one app does not mean your information is sent to every provider.

  • DigitalOcean hosts websites and online services, databases, uploaded media and product files, and operational logs where used by the product. DigitalOcean privacy policy
  • Google Firebase provides authentication in connected web and native apps, file storage such as profile photos, and Firebase Cloud Messaging for app and web notifications where used. Depending on the feature, Google processes account identifiers, sign-in details, uploaded files, device or installation identifiers, notification tokens, and technical information such as IP addresses needed to operate and secure these services.   • Neon provides database services for products configured to use it, including account-related records and product content stored by those services. Neon privacy information
  • Google Analytics measures visits and page use on websites where it is enabled. On this website, it loads only after you accept its cookies. Google privacy policy

  • Amazon Web Services sends account and other necessary emails through Amazon Simple Email Service and provides storage where a product uses Amazon S3. AWS privacy notice
  • OpenAI processes inputs for online AI or speech features that use it. For the optional Lyra website assistant, Techopolis sends the conversation and current published site information and requests that model responses are not stored through the API.   • Anthropic processes prompts and relevant content when you use a Claude-powered online feature or connect a supported Anthropic account. Anthropic privacy policy
  • Google AI and Google Cloud process inputs for Gemini and cloud speech features where selected, including submitted prompts, content, or text to be spoken. Google privacy policy
  • ElevenLabs processes text and voice selections for cloud speech generation when you choose an ElevenLabs voice. ElevenLabs privacy policy
  • Hugging Face supplies downloadable AI models and related files in apps that use its model catalog. It receives download requests and related technical information; downloading a local model does not itself send it your conversations. Hugging Face privacy policy
  • Calendly provides optional meeting scheduling after you choose the Schedule a meeting link. Calendly receives information you provide on its website. Calendly privacy notice
  • Automattic Gravatar provides an optional public profile photo. If you use it, Gravatar receives a coded version of the email address you provide and normal request information from visitors who load the photo. Gravatar privacy information
  • Apple provides public App Store information, images, and links, and handles App Store distribution, purchases, and subscriptions. Apps that use iCloud or CloudKit can store and sync app content through your Apple account, depending on the app and your settings.   • RevenueCat manages in-app purchases and subscription access in apps that use it. It processes an app user identifier, purchase and subscription records, and relevant device and app information to verify and restore access. Apps participating in a shared subscription may use a shared purchase identifier to recognize your access across those apps. RevenueCat privacy policy
  • OneSignal supports notifications in apps that use it. It processes notification subscription identifiers, device delivery tokens, device and app information, and notification interaction information to deliver and manage messages. OneSignal privacy policy
  • Connected platforms and providers you choose receive information when you use their integrations. These can include GitHub and Todoist for project work; Google, Meta, LinkedIn, Bluesky, Mastodon, X, TikTok, and WordPress services for publishing or connected content; Pushover for notifications; and other AI providers, compatible model servers, or tools you configure. The information exchanged depends on the permissions and actions you authorize.
  • Stripe processes checkout, billing, and subscription information for products offering Stripe payments. It receives payment details and the information needed to process transactions; Techopolis receives payment status and related customer, order, or subscription records. Stripe privacy policy
  • Squarespace still hosts some images from older blog posts. Squarespace privacy policy

These companies may receive the information needed to provide their service, such as account details, email addresses, submitted forms, IP addresses, browser details, or app content, or website requests. Their privacy information and applicable service terms describe their handling. Techopolis remains responsible for personal information these providers process on our behalf.

10. How long we keep information

We keep information only as long as it is useful or legally required:

  • App content stored only on your device remains under your device's storage and backup controls. We keep app content stored on our servers for as long as needed to provide the feature you use, until you delete it or request deletion, subject to security and legal retention needs. For content synced to your own cloud account, use that account's deletion and backup controls. Removing a local copy or uninstalling an app may leave cloud copies, shared content, and backups in place.
  • Purchase, subscription, and license records may be kept to provide access, handle refunds or disputes, prevent fraud, and meet accounting or legal requirements.
  • Anonymous first-party visitor codes are deleted after 95 days. Short duplicate-check records are deleted after two days. Daily totals are kept for up to 760 days.
  • Account and profile information is usually kept while the account is active and for a reasonable period afterward for security, backups, or legal needs.
  • Newsletter information is kept by ActiveCampaign until you unsubscribe or ask us to delete it, except for records needed to honor an unsubscribe request.
  • Website form responses are retained for the period stated on the form. The Contact form retains responses for up to 365 days.
  • Lyra chat conversations are not saved in the Techopolis website database. A support message you choose to submit through Lyra uses the Contact form and is kept for up to 365 days.
  • Security logs, email-delivery records, public content, administrator records, and backups follow our operational and legal retention needs.

Deleted information may remain in a protected backup until that backup is replaced or deleted.

11. Your choices

You can:

  • change your cookie settings;
  • change app permissions, notifications, and available sync or diagnostic settings;
  • use available app controls to export or delete content or disconnect a service;
  • unsubscribe through the link in a newsletter;
  • review or update available My Techopolis profile information; and
  • ask to access, correct, delete, or receive a copy of your personal information when the law gives you that right.

Use the account-deletion control where a product provides one, or email us at the address below to request account or app-data deletion or make another privacy request. Include the app or service name and the account email, if applicable, so we can locate the relevant information. Do not send your password or payment card details. We may need to confirm your identity before we act. Some information may need to be kept for security, legal, or recordkeeping reasons. We will not treat you unfairly for making a privacy request.

12. Security and international processing

We use safeguards such as encrypted connections, secure account cookies, limited administrator access, server-side permission checks, provider access controls, and records of important administrator actions. No system can be guaranteed completely secure, so contact us promptly if you think your account or information is at risk.

Techopolis is based in the United States. Our service providers may process information in the United States or other countries where they operate. We use the protections required by law for international transfers.

13. Children's privacy

This website is not meant for children under 13. Across our apps and services, we do not knowingly collect personal information from children under 13. A parent or guardian who believes a child gave us personal information should contact us so we can investigate and delete it when appropriate.

Please identify the app or service when contacting us about a child's information so we can address the right records.

14. Changes and how to contact us

We may update this policy when our websites, apps, products, services, or legal requirements change. We will update the date at the top. We will give extra notice when the law requires it.
